Members & Roles

Manage user accounts, send invitations, import users in bulk, and control permissions through roles.

The Manage > Users page is your central hub for managing everyone in your organisation. From here you can invite new members, adjust roles, and handle account status.

User Tabs

The Users page organises members into three tabs:

  • Active: Users who have accepted their invitation and have access to the platform.
  • Invited: Pending invitations that haven't been accepted yet.
  • Inactive: Suspended users who no longer have access.

Roles

Enlytning uses four roles to control what users can do. Roles are assigned when inviting users and can be changed at any time by an Admin or Owner.

RoleDescription
OwnerFull administrative control including billing, security settings, and organisation deletion. Each organisation has one Owner.
AdminManages day-to-day operations: inviting users, creating groups, and full access to materials and assignments. Cannot manage billing.
CreatorCan create and edit materials in the Workspace. Cannot assign materials or access admin settings.
RegularStandard employee role focused on completing assigned learning. Cannot create content or manage users.

Changing a User's Role

  1. Navigate to Manage > Users.
  2. Click on the user to open the action bar.
  3. Click Edit User.
  4. Select a new role from the dropdown.
  5. Click Save.

Inviting Users

Single or Multiple Invites

  1. Navigate to Manage > Users.
  2. Click the Invite button.
  3. Enter email addresses (separate multiple emails with commas).
  4. Select a Role for the new users.
  5. Optionally, add them to one or more Groups.
  6. Click Send Invites.

Invited users receive an email with a link to join your organisation.

Email Delivery

If users report not receiving invitations, ask them to check their spam folder. We recommend adding notifications@enlytning.com to your email allowlist.

Bulk Import via CSV

For larger onboarding, import multiple users from a CSV file:

  1. Navigate to Manage > Users.
  2. Click Import.
  3. Upload a CSV file with email addresses in the first column (max 75 emails per file).
  4. Select a Role for all imported users.
  5. Optionally, assign them to Groups.
  6. Click Send Invites.

You can download a sample CSV template from the import dialog.

CSV Format

The CSV should have email addresses in the first column. A header row is optional and will be automatically detected.

Revoking an Invitation

If you need to cancel a pending invitation:

  1. Navigate to Manage > Users and select the Invited tab.
  2. Click on the invitation you want to revoke.
  3. Click Revoke in the action bar.
  4. Confirm the revocation.

The invitation link will no longer work, and the user will not be able to join.

Suspending Users

When an employee leaves or needs their access revoked:

  1. Navigate to Manage > Users.
  2. Click on the user to open the action bar.
  3. Click Suspend User.
  4. Confirm the suspension.

The user is immediately logged out and moved to the Inactive tab. Their historical data (completed assignments, created materials) is preserved for reporting purposes.

Seat Management

Suspended users free up a seat on your subscription at the start of your next billing cycle.

Reactivating Users

To restore access for a suspended user:

  1. Navigate to Manage > Users and select the Inactive tab.
  2. Click on the user you want to reactivate.
  3. Click Activate in the action bar.
  4. Confirm the reactivation.

The user regains access and is moved back to the Active tab.

Exporting Users

Export your user list for reporting or external processing:

  1. Navigate to Manage > Users (Active tab).
  2. Click Export.
  3. Choose your export options.
  4. Download the generated CSV file.
