Smart Content
Enable AI processing on your materials to power the Assistant and intelligent search.
Smart Content allows the AI to process and index your published materials. Once indexed, content becomes searchable through the Assistant, enabling instant answers to questions about your organisation's policies, procedures, and training materials.
Accessing Smart Content
Navigate to Settings > Smart Content to manage AI processing for your organisation.
Enabling Smart Content
Smart Content is controlled at two levels:
Organisation-Level Toggle
First, enable AI processing for your organisation:
- Go to Settings > Smart Content.
- Toggle Enable Smart Content on.
- The content library appears below.
When disabled, no materials are processed and the Assistant cannot search your organisation's content.
Material Selection
With Smart Content enabled, select which materials to index:
- View the Content Library table showing all published materials.
- Check the box next to materials you want indexed.
- Click Save to apply changes.
Only selected materials are processed and searchable.
Processing Status
Each material shows its current processing status:

|---|---|
| Processed | Successfully indexed and searchable. |
| Processing | Currently being processed by the AI. |
| Queued | Waiting to be processed. |
| Failed | Processing encountered an error. |
| Not processed | Not selected for indexing. |
Processing typically completes within a few minutes. The page automatically refreshes while materials are being processed.
Failed Processing
If a material fails to process, the error message appears in the status column. Common causes include overly complex content or temporary system issues. Try deselecting and reselecting the material.
What Gets Indexed
When a material is processed:
- All text content is analysed and indexed.
- The AI can retrieve relevant sections when answering questions.
- Content is associated with your organisation only.
Only published materials appear in the content library. Draft materials cannot be indexed.
Managing Indexed Content
Adding Materials
- Select materials by checking their boxes.
- Click Save.
- Materials are queued for processing.
Removing Materials
- Uncheck materials you want to remove from the index.
- Click Save.
- Content is removed from the knowledge base.
Searching Materials
Use the search bar to find specific materials by title in the content library.
Unsaved Changes
When you select or deselect materials, a bar appears showing:
- Number of unsaved changes.
- Discard button to revert changes.
- Save button to apply changes.
Changes only take effect when you click Save.
How the Assistant Uses Indexed Content
Once materials are processed:
- Users ask questions via the Assistant.
- The Assistant searches your indexed materials.
- Relevant content is retrieved and used to form answers.
- Sources are cited so users can verify information.
The more content you index, the more questions the Assistant can answer.
Privacy and Security
- Indexed content is private to your organisation.
- Other organisations cannot access your knowledge base.
- Content is only accessible through the Assistant interface.
- Users see only information from materials they could otherwise access.

What to Index
- Policies and procedures: Reference documents employees frequently need.
- FAQ content: Common questions and answers.
- Process guides: Step-by-step instructions.
- Compliance materials: Regulations and requirements.
What to Skip
- Assessment-only materials: Content without explanatory text.
- Highly sensitive content: Information that shouldn't be surfaced in chat.
- Temporary materials: Short-lived content not useful for ongoing reference.
Requirements
- Materials must be published to appear in the content library.
- Only courses and policies can be indexed (surveys are not supported).
- The organisation toggle must be enabled for material selection to appear.
