Manage searchable content

Process published materials and uploaded documents for Enlytning Agent searches.

Use Smart Content to make published materials and uploaded documents searchable through Enlytning Agent.

Access Smart Content

Admins and Owners can manage artificial intelligence (AI) processing in Settings > Smart Content.

Enable Smart Content

Enable Smart Content before you select published materials or upload Knowledge Sources.

Enable organisation processing

Turn on organisation processing from the Smart Content page:

Go to Settings > Smart Content.

Turn on Enable Smart Content.

Confirm that Content Library and Knowledge Sources appear.

Disabling this setting prevents Enlytning Agent from searching Knowledge Sources. It does not remove existing material indexes. Deselect and save indexed materials before disabling Smart Content if you need to prevent material retrieval.

Select materials

Choose which published materials Enlytning Agent can search:

Open the Content Library table.

Select the checkbox next to each material you want to index.

Click Save.

Enlytning processes and searches only the selected materials.

Check processing status

Use the status column to check whether each material is searchable:

StatusDescription
ProcessedEnlytning indexed the material, and Enlytning Agent can search it.
ProcessingEnlytning is processing the material.
QueuedThe processing queue contains the material.
FailedEnlytning encountered a processing error.
Not processedYou have not selected the material for indexing.

Statuses update automatically while processing continues.

Failed processing

If processing fails, the status column shows the error. Deselect and reselect the material to queue it again.

Understand indexed content

Processing has three effects:

  • Enlytning analyses and indexes all text content.
  • Enlytning Agent can retrieve relevant sections when answering questions.
  • Enlytning limits the content to your organisation.

Only published materials appear in the content library. You cannot select draft materials for indexing.

Manage indexed materials

Add, remove, or find materials from the Content Library.

Add materials

Select and save materials to add them to the index:

Select the checkbox next to each material.

Click Save.

Confirm that each material shows Queued or Processing.

Remove materials

Remove selected materials from the index:

Clear the checkbox next to each material you want to remove.

Click Save.

Confirm that each material shows Not processed.

Search materials

Use the search bar to find specific materials by title in the content library.

Save or discard changes

After you change a material selection, an action bar shows:

  • The number of unsaved changes
  • Discard, which reverts your changes
  • Save, which applies your changes

Changes only take effect when you click Save.

Upload Knowledge Sources

Knowledge Sources are standalone documents that Enlytning Agent can search for Admin and Owner questions. Use them for internal guidance that does not belong in a course or policy.

Admin and Owner access

Only Admins and Owners can upload, manage, or search Knowledge Sources. Enlytning excludes these sources from Creator and Regular user searches.

Upload a Knowledge Source

Upload one supported document at a time:

Enable Smart Content.

Click Upload in Knowledge Sources.

Select one .docx or .txt file up to 20 MB.

Wait for the file to finish processing.

The initial title uses the uploaded filename without its extension. Each upload accepts one file.

Knowledge Sources use the following processing states:

StatusDescription
QueuedThe processing queue contains the file.
ProcessingEnlytning is reading and indexing the file.
ProcessedAdmins and Owners can search the file in Enlytning Agent.
FailedProcessing did not complete. Open the file’s actions and select Retry Processing.

If Enlytning cannot register an upload, select Retry to try again or Remove upload to discard it.

Manage Knowledge Sources

Open the actions menu next to a Knowledge Source:

  • Retry Processing: Queue a failed source for processing again.
  • Rename: Change the title displayed in Enlytning.
  • Download: Download the original uploaded file.
  • Delete: Permanently remove the file and its indexed content.

Deleting a Knowledge Source prevents Enlytning Agent from referencing it. You cannot undo the deletion.

An Enlytning Agent search uses indexed content in four stages:

Ask a question through Enlytning Agent.

Enlytning Agent searches the sources available to your role.

Enlytning Agent retrieves relevant content and forms an answer.

Use the cited sources to verify the answer.

Admins and Owners can search processed organisation materials and Knowledge Sources. Creators and Regular users can only search processed, published courses and policies currently assigned to them.

Protect indexed content

Enlytning limits indexed content to the organisation and role that can access it:

  • Enlytning keeps indexed content private to your organisation.
  • Other organisations cannot access your knowledge base.
  • Enlytning Agent can retrieve indexed courses and policies
  • Studio can use a processed policy when you select it as a source
  • Creators and Regular users only receive information from processed materials assigned to them.
  • Only Admins and Owners can access Knowledge Sources.

Choose content to index

Index durable reference content and exclude material that should not appear in chat.

Content to index

Index sources that help people answer ongoing work questions:

  • Policies and procedures: Reference documents employees need
  • Frequently asked questions: Recurring questions and their answers
  • Process guides: Step-by-step instructions
  • Compliance materials: Regulations and requirements

Content to exclude

Exclude sources that add little reusable context or contain unsuitable data:

  • Assessment-only materials: Content without explanatory text
  • Sensitive content: Information that should not appear in chat
  • Temporary materials: Short-lived content that does not support ongoing reference

Meet indexing requirements

Check these requirements before you select or upload content:

  • Enable the organisation toggle before managing materials or Knowledge Sources.
  • Publish materials before selecting them in the content library.
  • Select only courses and policies. The index does not support surveys.
  • Upload each Knowledge Source as a .docx or .txt file up to 20 MB.
