Assistant

Get instant answers from your organisation's knowledge base and platform help with the AI Assistant.

The Assistant is a chat sidebar that answers questions by searching two sources: your organisation's indexed materials and Enlytning platform documentation. It provides instant, contextual support without leaving the page you're working on.

Accessing the Assistant

The Assistant appears as a sidebar panel:

  1. Click the Assistant icon (sparkles) in the interface.
  2. The sidebar opens on the right side of the screen.
  3. Type your question and press enter.
  4. View the response with source citations.

Two Knowledge Sources

The Assistant searches two distinct sources based on your question:

Organisation Knowledge Base

For questions about your company's content:

  • Company policies and procedures
  • Training materials and courses
  • Internal rules and guidelines
  • Any material indexed via Smart Content

Example questions:

  • "What is our remote work policy?"
  • "How do I request time off?"
  • "What are the safety procedures for the warehouse?"

Platform Documentation

For questions about using Enlytning:

  • How to use platform features
  • Navigation and interface help
  • Administrative tasks
  • Technical how-tos

Example questions:

  • "How do I create a new course?"
  • "How do I assign materials to a group?"
  • "How do I export a report?"

The Assistant automatically determines which source to search based on your question. If the first source doesn't have relevant information, it will try the other.

Source Citations

Responses include citations showing where the information came from:

  • Click Sources to expand the list of referenced materials.
  • Each source links to the original content.
  • Citations help you verify information and explore further.

If the Assistant can't find relevant information in either source, it will tell you rather than guessing.

Follow-up Suggestions

After each response, the Assistant may suggest follow-up questions:

  • Click a suggestion to ask that question.
  • Suggestions are contextual based on your conversation.
  • Use them to explore related topics.

Contextual Suggestions

When you open the Assistant, you'll see suggested questions based on where you are in the platform:

  • On the Reports page: suggestions about reports and analytics.
  • In the Workspace: suggestions about creating content.
  • In Settings: suggestions about configuration options.

Conversation Management

Clearing the Conversation

Click the trash icon in the Assistant header to clear the current conversation and start fresh.

Closing the Assistant

Click the X icon or click outside the sidebar to close it.

Brand Kit Integration

If you've configured a Brand Kit, the Assistant uses your organisation's:

  • Tone of voice
  • Target audience considerations
  • Writing style rules
  • Preferred terminology

This ensures responses match your organisation's communication standards.

Requirements

For the Assistant to answer questions about your organisation's content:

  1. Smart Content must be enabled: Go to Settings > Smart Content and enable AI processing.
  2. Materials must be indexed: Select which published materials should be searchable.
  3. Materials must be published: Only published content is indexed.

Best Practices

  • Index comprehensive materials: The more content indexed, the better the answers.
  • Keep materials updated: Republish materials when content changes to update the index.
  • Use clear language: Well-written source content produces clearer responses.
  • Ask specific questions: Specific queries get more accurate answers than vague ones.
