Publish & Assign
Learn how to assign materials to users and groups, and configure assignment settings.
Once you've created and published a material, the next step is assigning it to your team. Assignments track who needs to complete what, their progress, and compliance status.
Starting an Assignment
There are several ways to begin assigning a material:
- From Manage > Material, click on a published material and select Assign.
- From the material's overview page, click the Assign button.
- After publishing a new material, you'll be prompted to assign it immediately.
Selecting Assignees
The assignment flow begins with selecting who will receive the material. You can assign to individual users, entire groups, or a combination of both.
Assigning to Users
- On the Assign page, ensure the Users tab is selected.
- Browse or search for users in the list.
- Click on users to select them—they'll appear in the "To be assigned" panel on the right.
- Use the Department filter to narrow down the user list.
Users who are already assigned to this material won't appear in the list.
Assigning to Groups
- Switch to the Groups tab.
- Select one or more groups.
- All members of the selected groups are automatically added to the assignment.
Group Membership
When you assign to a group, only current members receive the assignment. Users added to the group later won't automatically receive it—you'll need to create a new assignment for them.
Managing Your Selection
The "To be assigned" panel shows everyone who will receive the assignment:
- Click the × next to a name to remove them.
- Click Remove all to clear your selection and start over.
- The count shows how many users will be assigned.
Assignment Settings
After selecting assignees, you'll configure settings specific to the material type. Click Next to proceed to the Settings step.
Course Settings
Courses have several options to control how learners interact with the material:
| Setting | Description |
|---|---|
| Passing Score | Set a minimum percentage (0-100%) learners must achieve. When disabled, any completion counts as passing. |
| Max Attempts | Limit how many times learners can attempt the course before each deadline (1-10). When disabled, unlimited attempts are allowed. |
| Hide Answer Feedback | When enabled, learners can review their attempts but won't see which answers were correct or incorrect. |
| Leaderboard | When enabled, learners can see a ranked list of their peers based on scores. |
Survey Settings
Surveys have a single setting:
| Setting | Description |
|---|---|
| Anonymous Responses | When enabled, all survey responses are anonymised—you'll see aggregated results but won't know who submitted which response. |
Policy Settings
Policies don't have additional settings. Users simply need to read and acknowledge them, often with a signature.
Confirming the Assignment
After configuring the deadline (see Deadlines & Schedules), you'll reach the confirmation step:
- Review the summary showing assignees, settings, and deadline.
- Click Confirm to create the assignment.
- All selected users will immediately see the material in their Learn queue.
A notification confirms how many users were assigned.
Managing Existing Assignments
After creating assignments, you can manage them from Manage > Material:
- Click on a material to see its assignments.
- View completion status, scores, and deadlines for each assignee.
- Use the action bar to unassign users if needed.
Unassigning Users
To remove an assignment:
- Navigate to Manage > Material and select the material.
- Find the user in the assignments list.
- Click Unassign in the action bar.
- Confirm the removal.
Unassignment Impact
Unassigning a user removes their access to the material and clears their progress. Historical completion records are preserved for reporting.
